1. Who is responsible
Zen Tech LLC operates betterjobs and is the controller of the personal data of our website visitors and customers. For candidate outreach, the customer who runs a campaign decides who is contacted and why. For that data the customer is the controller and we act as its processor.
2. Data we collect
- Account data: name, work email, company name and website, and the details of team members you invite.
- Campaign data: job posts, company information, audience filters, email copy, replies and labels.
- Billing data: plan, invoices and payment status. Card details are handled by our payment provider and never stored by us.
- Usage and device data: IP address, browser, pages visited and actions in the product, collected through logs and cookies.
- Candidate data: professional details such as name, job title, employer, location and business email, obtained from third-party business data providers, plus the messages exchanged with them.
3. How we use it
- To provide the service: build audiences, draft and send emails, sort replies and run your account.
- To bill you, prevent fraud and abuse, and keep the service and our mailboxes secure.
- To support you and to send service messages, such as sign-in codes, receipts and important changes.
- To improve the product and measure our marketing, for example which pages lead to sign-ups.
- To meet legal obligations and enforce our terms.
4. Legal bases (EEA and UK)
We rely on performance of a contract for running your account, legitimate interests for security, product improvement, business-to-business marketing and recruiting outreach to professionals, consent where the law requires it (for example non-essential cookies), and legal obligation for tax and accounting records.
5. Candidates
If you received an email about a role sent through betterjobs, it came from a recruiter or employer using our service. We used your professional contact details only so they could tell you about an opportunity relevant to your work. You can:
- Reply asking not to be contacted again. The sequence stops and the request is recorded.
- Email support@mailscale.ai to be removed from all betterjobs outreach, or to ask what data we hold about you and where it came from.
We do not sell candidate data and we do not use it for any purpose other than recruiting outreach.
6. Who we share data with
We share personal data only with service providers that help us run betterjobs, under contracts that require them to protect it:
- Hosting and infrastructure (for example Vercel and Supabase)
- Payments (Stripe)
- Email sending and transactional email providers
- Business contact data providers
- AI model providers that analyse job posts and draft emails. They do not use your data to train their models.
- Analytics and advertising partners (for example Meta), where you have allowed it
We may also disclose data if the law requires it, to protect our rights or users, or as part of a merger or acquisition.
7. International transfers
We are based in the United States and our providers may process data in other countries. When data leaves the EEA or UK we use appropriate safeguards, such as the European Commission's Standard Contractual Clauses.
8. How long we keep it
We keep account and campaign data for as long as your account is active and for a reasonable period after, so you can return to it. We then delete or anonymise it, except where we must keep records for legal, tax or accounting reasons. Opt-out records are kept so that we can keep honouring them.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your data, to object to or restrict processing, and to withdraw consent. California residents have the right to know, delete and correct personal information and to opt out of its sale or sharing. We do not sell personal information. To use any of these rights, email support@mailscale.ai. You may also complain to your local data protection authority.

We use cookies to keep you signed in, to carry your details into the free campaign flow and, with your permission, to measure marketing. See our Cookie Policy.
11. Security
We protect data with encryption in transit, access controls, separated customer workspaces and passwordless sign-in. No system is completely secure, so we cannot guarantee absolute security.
12. Children
betterjobs is a business service and is not intended for anyone under 18. We do not knowingly collect data from children.
13. Changes
We may update this policy. We will post the new version here with a new date and notify customers of material changes.
